Personal Information Collection Notice Recorded, Transcribed and AI-Assisted Meetings

This page details the Reserve Bank of Australia’s (the Reserve Bank) approach to personal information collected when you participate in meetings, workshops, consultations, training sessions, webinars and other engagements organised or hosted by the Reserve Bank (Engagements) that are recorded, transcribed or otherwise assisted by technology tools (the Information).

The Reserve Bank will ordinarily make you aware, when or before an Engagement starts, that the Information will be collected and the nature of any proposed method of collection (e.g. recording of video, audio or both audio and video, or transcription only), including by referring you to this page as part of any invitation for the Engagement.

Where appropriate, individuals may be able to limit the Information collected about them by choosing not to use video functionality, limiting their participation, or discussing alternative arrangements with the organiser of an Engagement prior to the commencement of the Engagement.

The Information We May Collect

The Information collected may include:

  • name, title and position, organisation and contact details;
  • attendance and participation information;
  • registration or RSVP information;
  • audio, video and image recordings of participants;
  • information, opinions and views shared during the Engagement;
  • messages, files, comments and other content provided through collaboration tools used in connection with the Engagement;
  • transcripts of the Engagement;
  • meeting notes, summaries, reports and other records made by our staff or generated from the above information; and
  • technical and device data collected by meeting platforms.

Why We Collect The Information

The primary purposes of the Reserve Bank collecting and holding the Information include:

  • conducting and administering Engagements;
  • advancing the purposes or subject matter of Engagements;
  • supporting communication, collaboration, knowledge sharing and other business operations;
  • creating and maintaining records of discussions, decisions and actions;
  • supporting note-taking, meeting administration and follow-up activities;
  • supporting governance, compliance, audit, risk management and security activities; and
  • undertaking planning, analysis, research, and reporting.

The Reserve Bank may also use the Information in artificial intelligence (AI), analytics or other productivity tools for the above purposes and to inform operational improvement and decision making.

How We Collect The Information

The Information may be collected through:

  • invitations and communications related to an Engagement;
  • recording and/or transcribing an Engagement;
  • our staff creating notes, summaries, reports and other records in connection with an Engagement; and
  • the use of meeting platforms, AI, analytics or other productivity tools in connection with an Engagement, including through their automatic collection of technical and device data.

Consequences if the Information is not collected

If the Information were not collected, the Reserve Bank may not be able to conduct, administer or document the relevant Engagement, or meet its operational, governance, compliance, security or recordkeeping requirements effectively.

Disclosure of the Information outside the Reserve Bank

Some of the Information is of a kind which the Reserve Bank may usually disclose to persons or organisations outside the Reserve Bank, including:

  • service providers engaged to provide or support information technology or collaboration tools or services used by the Reserve Bank;
  • professional advisers or other service providers to the Reserve Bank who are engaged in connection with the relevant Engagement or its subject matter;
  • participants in the Engagement;
  • for the purpose of obtaining legal advice;
  • when authorised by Reserve Bank management in connection with investigations into possible security breaches or possible breaches of the law; and
  • where disclosure is authorised or required by law.

Disclosure of the Information to overseas recipients

The Reserve Bank is unlikely to disclose the Information to overseas recipients.

Information requests and complaints

Individuals are entitled under Australian privacy law in certain circumstances to access, and seek correction of, personal information about them held by the Reserve Bank.
